ERASMUS+ STUDENT INTERNSHIP 

An Erasmus+ Internship Mobility Activity is a process of acquiring professional training or work experience where a beneficiary (student) registered at an ECHE-accredited higher education institution can undertake an internship or work in another participant country, either at an ECHE-accredited Higher Education Institution or in the labor market or in the field of education, training, and youth operated by any public or private institution/organization. For example:

Small, medium, or large-scale private or public institutions or organizations (including social enterprises)

Public institutions/organizations at the local, regional, or national level

Social partners or representatives of working life, including chambers of commerce, trade/professional associations, and unions

Research institutes

Foundations

Schools/institutes/education centers (operating in any level of education, including pre-school education to post-secondary education, including vocational education and adult education)

Non-profit organizations, associations, NGOs

It is the process of gaining vocational training and/or work experience in an institution/organization that provides career guidance, professional counseling, and information services.

A- APPLICATION CONDITIONS

There may be differences in application conditions for each academic year. Therefore, the current conditions are specified in the announcement text announced for the relevant academic year. However, the general principles are as follows:

  • The minimum GPA requirement is 2.20/4.00 for associate and undergraduate degree students, and 2.50/4.00 for master's and doctoral degree students.
  • Submitting an English proficiency test result is mandatory for the application. Students can apply for the Erasmus program using the results of the English Proficiency Exam conducted by our university or internationally recognized exams such as IELTS or TOEFL.
  • Students participating in the mobility program must be full-time students and have a course load of 30 ECTS credits per semester. 
  • For students to apply, there must be an existing agreement between our university and the host institution for their department and level of study.


  

B- APPLICATION METHOD

Applications will be accepted via  https://turnaportal.ua.gov.tr/ using an e-government username and password.

C- EVALUATION OF APPLICATIONS

The evaluation criteria and weighted scores to be used in the evaluation of mobility applications are as follows;

​1- Academic Achievement Level: %50 (Out of 100 points total)

​2- Language Proficiency: %50 (Out of 100 points total)

​3- Submission of acceptance letter during application: +10 points

​4- Children of Martyrs and Veterans: +15 points

​5- Disabled Students (with documented disability): +10 points

​6- Previous participation (with or without grant): -10 points

​7- Participation in mobility in the country of citizenship: -10 points

​8- Applying for both education and internship simultaneously (for the mobility the student prefers): -10 points

     9- Those who or their first-degree relatives have received disaster victim assistance from AFAD: +10 points

​10- Students covered by the Protection, Care, or Accommodation Decision under the Social Services Law No. 2828: +10 points

​11- Non-attendance at meetings or training activities organized by the Higher Education Institution regarding mobility (applies if the student reapplies for Erasmus): -10 points

​12- Not participating in mobility without timely notification of waiver (applies if the student reapplies for Erasmus): -10 points

​13- Declaring intent to take the language exam but failing to attend without justification (applies if the student reapplies for Erasmus): -5 points

​14- Internships aimed at developing digital skills (DOTs) are prioritized: +5 points.

 

D- GRANT

Students participating in Erasmus Internship Mobility are provided with financial support for the duration of their internship abroad. The grant payment is made in two stages. The first payment, 80% of the total grant amount, is made before departure, and the remaining 20% is transferred to the student’s account upon return.


Travel Grant Support Calculations

In order to contribute to students' travel expenses, the distance between the starting point of mobility and the location where the activity takes place should be determined using the distance calculator provided by the European Commission. The travel grant should be calculated using the table below. The distance calculated by the distance band calculator corresponds to the round-trip amount in the table below, and this amount should not be doubled.

Green Travel refers to travel conducted using low-carbon emission public transportation options. Bus, train, and carpooling are considered part of green travel. To qualify for green travel support, both the outbound and return journeys must use green travel methods, and more than half of the entire trip must be made using green vehicles.

If necessary, individual support grants can be provided for travel days, with a maximum of two days for regular travel and up to six days if green travel is used, for both pre- and post-activity travel duration.



However, the provision of grants to students who qualify for the program is subject to the allocation of sufficient financial resources to our University. Students who are not granted funding can choose to waive their right to participate in the program or participate with a “0 grant”.

 

E- WHAT STUDENTS WHO HAVE BEEN AWARDED MOBILITY NEED TO DO BEFORE GOING

You must obtain an acceptance letter from the university/institution/company you will be visiting and submit a copy to the Erasmus Coordination Office. The acceptance letter for Internship Mobility must be related to the department in which the student is enrolled. Acceptance letters not related to the department will not be accepted by the Erasmus Coordination Office.

  • Traineeship Agreement form, which includes a detailed work plan for the internship, must be prepared before the activity and approved by both institutions. A copy of the form must be submitted to our office.
  • An application must be made to the Provincial Directorate of Population Citizenship for a passport. A photocopy of the first page of the passport must be submitted to the Erasmus Coordination Office. Erasmus Students under 25 years of age are exempt from passport fees, they are only required to pay for the passport book. Students over 25 years old can obtain the necessary document from our unit to be exempt from the fee. If you already have a passport and it needs to be renewed, apply to the Provincial Directorate of Population Citizenship Affairs. .
  • After obtaining the passport, an appointment for a visa will be made at the consulate of the country where the mobility will take place. The student will prepare all the documents required for the visa application. The Erasmus Coordination Office can only provide recommendations in this regard. After obtaining the visa, submit a photocopy of the page containing the visa in your passport to our office.
  • Comprehensive health insurance is mandatory. Insurance must be obtained through an international insurance company that will be valid in the country where education will be received and cover the duration of mobility. Some insurances cover the duration of stay, but their commitments are 90 or 92 consecutive days. Such insurances are not accepted. It is recommended that the policy cover both outpatient and inpatient treatment and all transfers. Since the required coverage amount may vary from country to country, the conditions of the relevant country must be checked during visa procedures. Additionally, a copy of the policy must be submitted to the Erasmus Coordination Office. Students who will go to countries with which a Social Security Agreement has been made and who are insured by the Social Security Institution will only need to obtain the relevant forms from the SSI.  
  • It is required to open a Euro bank account by consulting the Erasmus office and the relevant bank.
  • The grant agreement prepared by our unit must be signed before departure and a copy must be submitted to our office. (Link)
  • Students selected to participate in the study mobility must take an exam in the language of instruction using the Online Language Support (OLS) system before and after the activity. The exams do not affect the student’s selection status. The exams conducted before and after the activity are to observe changes in language proficiency during the student’s activities. Both exams are mandatory. The results of the exams can only be viewed by the student and the higher education institution that sends the student.

 

F- PROCEDURES FOR STUDENTS WHO HAVE BEEN GRANTED MOBILITY AT THE HOST INSTITUTION

If a student benefiting from the Erasmus activity needs to make any changes to the internship agreement prepared before starting the internship, they must consult the department coordinator, fill out the necessary parts of the Staj Anlaşması–Learning Agreement for Traineeship form, sign it and send it by email to  erasmus@ostimteknik.edu.tr 



G- WHAT STUDENTS WHO HAVE COMPLETED MOBILITY NEED TO DO UPON RETURNING

The following documents must be submitted to the Erasmus Coordination Office within 1 month after returning;

  • Submit the Certificate of Attendance and Traineeship Agreement provided by the host institution to our office. If you wish to keep an original copy, request the host institution to prepare two copies of the document. If the institution does not provide it, you can find the necessary formKatılım Belgesi (Certificate of Attendance)  from our website. 
  • The page(s) of your passport containing the entry-exit dates or the overseas entry-exit document obtained from e-government (e-devlet) will be used in the calculation of the grant together with the participation certificate. After returning, a photocopy of your passport or the document obtained from e-government will be taken by our office. Students outside the city can send a photocopy of their passport or this document by cargo.  
  • Upon completion of your mobility period, you are required to fill out the Final Report Form  (Link)  which summarizes your Erasmus experience and includes your evaluations. This form will be sent to the email address you provided and will be completed online. Additionally, you must complete a survey that will be sent to your email address by the European Union. Please note that completing these documents is mandatory in order to receive the remaining 20% of your grant. 
  • As before starting the mobility, students must take the language exam from the Online Language Support (OLS) system in the language in which the educational activity was carried out after the end of the mobility. Pre and post-activity exams are conducted to observe changes in language proficiency during the student’s activities. Both exams are mandatory. Exam results can only be viewed by the student and the higher education institution sending the student.
