GENERAL PROVISIONS
- Erasmus+ Learning Mobility is conducted within the framework of bilateral agreements between OSTİM Technical University and a higher education institution in one of the countries covered by the Erasmus University Charter. The mobility activity involves a registered student completing a portion of their studies at a partner institution abroad with which a bilateral agreement exists. The activity period can be a range of time that will be completed in one academic year, from 3 to 12 (1, 2, or according to the systems of some countries, 3 terms). Grant amounts and the requirements to benefit from the Erasmus+ activity vary depending on the destination countries.
- Students in the first year of associate and undergraduate programs cannot benefit from study mobility activities. However, first-year students can apply for exchange activities. Participating students must be full-time students.
- Students wishing to benefit from Erasmus+ Student Mobility will be accepted as candidate students after the announcement, application, evaluation, and student selection process. Candidate students must fulfill certain procedures to carry out the mobility. We can examine this process under three headings: pre-mobility procedure, during-mobility procedures, and post-return procedures.
- Application conditions may vary for each academic year. Therefore, the current requirements are stated in the announcement text for the relevant academic year. However, the general principles are as follows.

APPLICATION REQUIREMENTS
- The minimum grade point average (GPA) must be 2.20/4.00 at the Associate/Bachelor level and 2.50/4.00 at the Master’s and Doctorate levels.
- Submitting an English proficiency test result is mandatory for the application. Students can apply for the Erasmus program using the results of the English Proficiency Exam conducted by our university or internationally recognized exams such as IELTS or TOEFL.
- Students participating in the mobility must be full-time and have a course load of 30 ECTS (ECTS) credits for the semester.
- For students to apply, we must have an agreement for the department and education level they are enrolled in.
A- APPLICATION PROCEDURE
- Applications will be made via the https://turnaportal.ua.gov.tr/ The application will be submitted through the university's online system using e-Government (e-Devlet) credentials. Before selecting your preferences during the application process, please visit the website of your desired university to gather information on aspects such as the language of instruction, required language proficiency, and course contents.

B- EVALUATION OF APPLICATIONS
The evaluation criteria and weighted scores to be used in the evaluation of mobility applications are as follows:
- Academic Achievement Level: 50% (out of 100 points in total)
- Language Proficiency: 50% (out of 100 points in total)
- Children of Martyrs and Veterans: +15 points
- Disabled Students (with documented disability): +10 points
- Previous participation (with or without grant): -10 points
- Participation in mobility as a citizen of the country: -10 points
- Applying for both education and internship simultaneously (for the mobility preferred by the student): -10 points
- For students who are eligible for and receive protection, care, or accommodation as covered by the Social Services Law No. 2828: +10 points
- Those who or their first-degree relatives have received disaster victim assistance from AFAD: +10 points
- For participating students chosen for mobility: Failure to attend meetings/training sessions organized by the higher education institution regarding mobility (applied if the student reapplies for Erasmus): -5 points
- Failure to participate in mobility without declaring withdrawal on time (applied if the student reapplies for Erasmus): -10 points
- Failure to attend the language exam without a valid excuse (applied if the student reapplies for Erasmus): -5 points
C- GRANT
Students participating in Erasmus Study Mobility receive financial support for the period of study abroad. The grant payment is made in two stages. As the first payment, 80% of the total grant amount is transferred to the student’s account before departure, and the remaining 20% (subject to deduction by the institution based on the student’s performance) is transferred to the student’s account upon return.
Travel Grant Support Calculations
In order to contribute to students' travel expenses, the distance between the starting point of mobility and the location where the activity takes place should be determined using the distance calculator provided by the European Commission. The travel grant should be calculated using the table below. The distance calculated by the distance band calculator corresponds to the round-trip amount in the table below, and this amount should not be doubled.
Green Travel refers to travel conducted using low-carbon emission public transportation options. Bus, train, and carpooling are considered part of green travel. To qualify for green travel support, both the outbound and return journeys must use green travel methods, and more than half of the entire trip must be made using green vehicles.
If necessary, individual support grants can be provided for travel days, with a maximum of two days for regular travel and up to six days if green travel is used, for both pre- and post-activity travel duration.
However, the provision of grants to students deemed eligible for the program depends on whether sufficient financial resources are allocated to our university. Students not assigned a grant can waive their right to participate in the program or choose to participate with a “0 grant”.
D- PRE-DEPARTURE REQUIREMENTS FOR STUDENTS WHO HAVE BEEN GRANTED MOBILITY
Before preparing the application forms, students must review the website of the university they will attend to obtain information about the academic calendar, course schedule, application dates, required documents, etc. It is the student’s responsibility to submit the documents on time.
- A nomination letter is sent to the university on your behalf by the Erasmus Coordination Office. The host university can then directly proceed with the rest of the process with you or through our office. Host universities receive your applications through their websites or our office.
- prepared by our unit must be signed and submitted to our office before departure. Çevrimiçi Öğrenim Anlaşması (Online Learning Agreement) form, which shows the courses and credits you will take at the host university, is prepared and signed under the guidance of the department chair or department Erasmus coordinator and sent to the host institution for approval. After the host institution signs and approves this document, they will send you an Acceptance Letter.
- Since all stages of the Online Learning Agreement (OLA) can be monitored by our office, there is no need to print out this form and deliver it to our office separately.
- An application must be made to the Provincial Directorate of Population and Citizenship Affairs for a passport. A photocopy of the first page of the passport to be made must be submitted to the Erasmus Coordination Office. Erasmus students under 25 are exempt from passport fees and are only required to pay for the passport booklet. Students over 25 can obtain the necessary letter to be exempt from the fee by contacting our unit. If you already have a passport and it needs to be renewed, you should apply to the Provincial Directorate of Population and Citizenship Affairs.
- After obtaining the passport, an appointment will be made at the consulate general of the host country to get the visa. The students themselves will prepare all the documents required for the visa application. The Erasmus Coordination Office can only provide advice in this regard. After obtaining the visa, please submit a photocopy of the page with the visa in your passport to our office.
- Having a comprehensive health insurance is mandatory. The insurance should be obtained through an international insurance company that will be valid in the country of education and cover the duration of mobility. Although some insurances cover the period of stay, they may have commitments of 90 or 92 consecutive days, which are not accepted. It is recommended that the policy cover both outpatient and inpatient care and all transfers. Since the required coverage amount may vary in each country, the conditions of the relevant country must be checked during visa procedures. Additionally, a copy of the policy must be submitted to the Erasmus Coordination Office.For students going to countries where they are insured under the Social Security Institution insurance and covered by a Social Security Agreement, obtaining the necessary forms from the Social Security Institution is sufficient.

It is required to open a Euro bank account by consulting the Erasmus office the relevant bank.
- The grant agreement prepared by our unit needs to be signed and delivered to our office before departure.
- Öğrenci Taahhüt formu(Student Commitment form) must be signed and submitted to our office.
- Students selected for the mobility program must take a language proficiency test in the language of instruction through the Online Language Support (OLS) system before and after their mobility period. These tests do not affect the student’s selection status. The purpose of the pre- and post-mobility tests is to assess changes in the student’s language proficiency during the mobility period. Both tests are mandatory. The results are only accessible to the student and the sending higher education institution.

E- PROCEDURES FOR STUDENTS WHO HAVE BEEN GRANTED MOBILITY AT THE HOST INSTITUTION
If a student benefiting from the Erasmus activity needs to make any changes to the learning agreement they prepared before starting their education, they must consult with the department coordinator, make the necessary changes on the Online Learning Agreement (OLA) form, and save it with the signatures of all three parties (student, sending institution, receiving institution).Çevrimiçi Öğrenim Anlaşması (Online Learning Agreement)
F- PROCEDURES UPON RETURN FOR STUDENTS WHO HAVE COMPLETED THEIR MOBILITY
The following documents must be submitted to the Erasmus Coordination Office within 1 month after returning.
- Submit the Certificate of Attendance issued by the university you visited to our office. If you want to have the original of this document, ask the host university to prepare this document in two copies. You can download and customize the Katılım Belgesi (Certificate of Attendance)
- Obtain your transcript from the university you visited and submit it to our office. The host university can send this document to our office through you or by post.
- The page/pages in your passport showing the entry-exit dates or the entry-exit document obtained from e-government will be used in the calculation of the grant together with the participation certificate. After returning, a photocopy of your passport or the document obtained from e-government will be taken by our office. Students outside the city can mail a photocopy of their passport or this document.
- Upon completion of your mobility period, you are required to fill out the Final Report Form Nihai Rapor Formu (Link) which summarizes your Erasmus experience and includes your evaluations. This form will be sent to the email address you provided and will be completed online. Additionally, you must complete a survey that will be sent to your email address by the European Union. Please note that completing these documents is mandatory in order to receive the remaining 20% of your grant.
- Just as before starting the mobility, you are also required to take a language proficiency test in the language of instruction through the Online Language Support (OLS) system after completing your mobility. The pre- and post-mobility tests are conducted to observe changes in students' language proficiency during their mobility period. Both tests are mandatory. The test results are only accessible to the student and the sending higher education institution.
- Students who have completed their mobility program must fill out the Final Course Equivalency Form upon their return, based on their Learning Agreement. (Link)
